OIL/PACK Petroleum Jobber Software Rental tank module
The OIL/PACK oil and gas jobber software Rental Tank Module is designed to manage
petroleum product storage tanks located at remote sites. These tanks are usually owned by
the jobber, but may be customer owned. Complete data is kept on both the tanks and on the
sites where the tanks are currently installed.
The OIL/PACK invoicing system automatically identifies accounts with tanks in the tank
database and maintains a record of product deliveries to those tanks.
Features Overview
- Tank database stores manufacturer, date of manufacture, serial number and
type.
- Dates of first and current installation, last test, last service and last
inspection are stored together with initials of performing employee and notes for each
item.
- Tanks are assigned a type code to allow aggregating tanks by type, size
and/or manufacturer.
- Default monthly and annual rental rates are assigned by tank type code.
Current Tank Location Data
- Each tank is assigned to an OIL/PACK account; there is no limit to the
number of tanks that may be assigned to an account.
- Specific physical tank location data may be recorded;
this may differ from the accounts normal ship-to address.
- Delivery notes allow additional detail about the current location and
environment of the tank.
- A delivery route code and sequence number may be assigned to each tank.
- Environmental exposure (mild, average, severe) may be noted.
- A product type (e.g., #1 Diesel, Regular Unleaded, Kerosene) may be
specified for the tank at its current location.
- Accumulators track month- and year-to-date deliveries into the tank. Total
deliveries for the two previous years are also stored.
Versatile Rental Billing Options
- Rental rates may be set to zero; the module is then used just for tank
tracking.
- Tank rental invoices may be generated on demand.
- If the rental period (monthly or annual) is annual, the flat-rate annual
fee is used. The fee may be adjusted for each tank.
- Alternate rental rate methods require the monthly billing period.
- Monthly billing may be (a), a flat rate, (b) a flat rate less a
per-gallon-delivered discount, or (c) a flat rate unless a monthly gallons delivered
threshold is exceeded (which sets the billed amount to zero). The per-gallon-delivered
discount or monthly threshold may be set for each tank.
Links to OIL/PACK Invoicing
- The link is activated by the entry of an invoice indicating the sale of a
fuel product sent to the customers site. OIL/PACK detects that the account has tanks
on record and displays a window listing all tanks for that customer that take the specific
product being invoiced. The operator picks which tank was filled (if any) and the tank
record is updated. The printed invoice lists the ID number of the destination tank.
